Ah, file names for your presentation documents.  The source of many an internet meme! But your presentation does not need to be the punch line of a joke. Just follow a few simple instructions when saving your next presentation, and your AV team will love you, and not make fun of you behind your back…at least not for this.

If you’re speaking at a large conference that goes for 3 days and has 15 break out rooms, that can mean the AV team has to deal with upwards of 500 presentations. The file names for those presentations can mean the difference between your prezo meeting you on stage, and awkwardly walking out to someone else’s.  Of course this is the point of a ‘speakers prep’ room and file network, but that doesn’t mean you can’t make it easier for them/us!

Here are a few bad examples of file names for your prezo:

international speakers conference 2018.pptx

Believe it or not, having 500 presentations with this name is not helpful.

Prezo final.pptx

Again, vague and not helpful. If we need to find your prezo in a hurry, we will not be able to.

Good example:

Tom Collins - Importance of filenames.pptx

Better example (if you know what time you speak):

0900 Tom Collins - Importance of file names.pptx

Best example (if you know what room you’re in, and what time you speak):

Room 5 0900 Tom Collins - Importance of file names.pptx

And of course if you submit one prezo and then submit an updated version:

Room 5 0900 Tom Collins - Importance of file namesv2.pptx

Just admire what a well sorted set of presentations looks like

6 Files sorted by start time displaying speaker name and prezo topic, including scooby doo

Also, how good would that conference be!
